● THE FOUNDATION BOOKS

Terms of Service

These Terms of Service govern every organization portal on THE FOUNDATION BOOKS (thefoundationbooks.org). By creating an account, joining a portal or using the platform, you agree to these terms on behalf of yourself and your organization.

1. The service

THE FOUNDATION BOOKS provides nonprofit accounting, payroll calculation, workforce, grant, donor and reporting tools. It is a record-keeping and management tool. It does not file taxes, move money, hold funds or provide professional advice.

2. Eligibility and accounts

You must be at least 18 years old and authorized to act for your organization. Each organization receives its own private portal. You are responsible for the accuracy of what you enter, for the people you invite, and for keeping login credentials secure. Notify us promptly of any unauthorized access.

3. Organization information

At signup your organization must provide an accurate legal name, EIN, tax classification, payroll state and, where applicable, state tax and unemployment account numbers. Tax-exempt status you report is recorded as self-reported; we do not verify IRS determinations.

4. Roles and permissions

Access inside a portal is controlled by verified organization roles. Job titles and signup selections never grant leadership rights. Your organization's administrators are responsible for assigning and removing access when staff, contractors, volunteers or board members change.

5. Subscriptions and billing

New portals start with a 7-day free trial. After the trial, the subscription is $85.00 per month for the first 60 days, then a flat $199.00 per month per portal, billed monthly until cancelled. All plans include full access with no per-employee fees. Approved promotional codes may waive fees. All payments are non-refundable — see the Payments & No-Refund Policy.

6. Payroll and tax compliance

Organizations remain solely responsible for complying with federal (IRS, FLSA, FICA, FUTA) and state wage, withholding, unemployment and worker-classification rules, including the correct treatment of W-2 employees versus 1099 contractors and volunteers. The platform calculates figures from information you enter; you must review them and file all returns yourself or through your advisor.

7. Acceptable use

Do not use the platform for unlawful activity, fraud, or to store data you have no right to hold. Do not attempt to access another organization's portal, probe security controls, or upload malicious files. We may suspend accounts that violate these terms.

8. Your data and content

Your organization owns the records it enters and uploads. You grant us a limited right to host, process and display that data solely to provide the service. Our handling of personal information is described in the Privacy Policy.

9. Availability and changes

We work to keep the platform available but do not guarantee uninterrupted service. Features may be added, changed or retired. Integrations are shown as connected only when an actual connection exists.

10. Disclaimers and limitation of liability

The service is provided “as is.” To the fullest extent permitted by law, THE FOUNDATION BOOKS is not liable for indirect, incidental or consequential damages, penalties, interest or tax assessments, or for losses arising from information entered into the system. Our total liability is limited to the fees you paid in the three months before the claim.

11. Termination

You may cancel at any time. We may suspend or terminate access for non-payment or violation of these terms. After closure you may request an export of your records within 30 days before deletion.

12. Governing law and updates

These terms are governed by the laws of the State of Nevada. We may update these terms; continued use after an update means you accept the revised terms.
